Media Arts Reservations
The following classes must be greenlit from ProjectHQ and will fill out the Goldroom Request Form. Do not use WebCheckout.

How to reserve equipment:
For classes that require a Greenlight number, first complete the ProjectHQ form, then contact the Goldroom to create an account in WebCheckout.
WebCheckout grants immediate access to equipment because you make your own reservation.
Log in using your Chapman username and password and select "Create a new reservation". Always set your pickup and return time first in order to get accurate information for availability. Add resource packages by clicking "add one of this resource". Most packages include more than one item, and they will be listed in the shopping cart at the top of the page.
Be sure to confirm your order! Once all errors have been resolved, the confirm button will become available. A line will appear that states "Reservation CK-12345 confirmed".
Return on time!
Remember that other students need to use equipment too! These reservations often get scheduled very close to each other, so if one student is overdue, even by a couple of hours, then other students can't shoot their projects. Also, late fees are generated automatically as soon as the package is overdue and increase daily.
Pick up on time!
Orders that aren't picked up on the day they're reserved will automatically get cancelled. Students who repeatedly reserve equipment and fail to pick up will lose their WebCheckout privileges.
Greenlit Productions (non-documentary)
Once you have been greenlit through ProjectHQ, you will be eligible to reserve equipment.
If your class is not eligible to reserve through WebCheckout, please read below.
Do not submit requests until the production has been given a green light. Once you are approved by the head of production, you may fill out an Equipment Request. Use the "Goldroom Request" link from Project HQ. Remember, the request must be in the Project Lead's name, but anyone listed as key crew members on the Greenlight form may request equipment on behalf of the Project Lead.
The Goldroom will send the Project Lead a confirmation email when the reservation has been made. Crew members listed on the greenlight form will have access to view Goldroom reservations directly in Project HQ.
What to do at checkout
The Project Lead MUST be present at checkout to sign paperwork. This can not be delegated to another crew member.
Due to the extremely high volume of production, appointments are necessary in order to pick up equipment packages. You may request a desired time on the request form, but the Goldroom will contact you on the day before your scheduled pickup in order to confirm the time or to set a new time.
Equipment will be arranged in prep areas around the Goldroom. Go to the front counter where a Goldroom employee will give you paperwork and show you to your specific area. Many productions will have multiple reservations (camera and sound, grip and electric), and so you may receive more paperwork and will work in different prep areas.
As you check your equipment, mark each item in the indicated column on the paperwork. When you have completed prepping all your gear, return the signed paperwork to the Goldroom supervisor. An employee will let you know if you may begin loading equipment. In order to make room for the next production, you will be expected to load within a reasonable amount of time.
If you find an item that is damaged or does not operate properly, bring it to an employee's attention. They will either exchange or repair that item if possible. It is important to report these because as soon as you sign for the equipment, it becomes your responsibility. Any damages discovered after you pick up will be charged to your production.
Time in the prep areas
The Goldroom encourages all students to thoroughly prep equipment. This can be very time consuming depending on what's getting checked out. Even though we would love to provide all students with whatever time they need, unfortunately, Goldroom resources are very limited. In order to pull the orders that go out in a single day, we need students to prep in a timely manner. The Goldroom may have to limit prep times on particularly busy days in order to serve the number of students checking out. Please arrive to your checkout time prepared and ready to work quickly.
Please be aware that you are allowed to spend an appropriate amount of time prepping, but the Goldroom runs short on prep spaces. Be prepared to load your equipment immediately after prepping it in order to clear the space for more reservations. When possible, bring your crew to help prep!
After the Rental Agreement is signed, you may load your equipment. Goldroom assistants will not be available to help you load, so be sure to bring crew members for larger items. All equipment should be securely tied down in whatever vehicle you decide to use.
Any member of the production can return the equipment package to the Goldroom. Employees will return all items by barcode throughout the day. If items are missing, the Project Lead will receive an email listing the missing items. Items that remain overdue for two weeks will be charged to the production.
We have had weekend hours in the past, and students didn't really take advantage of them. It doesn't make budgetary sense to stay open when there's no business.
Cards may be provided as part of certain classes, in which case you should ask your professor.
Students enrolled in any of the classes listed above should use WebCheckout. If the equipment you wish to reserve is not listed when you log in, then reserve the rest of the items and call the Goldroom at 714-628-2865 for more information.
In most cases, reservations are limited to 1 or 2 weeks in advance.
Because reservations in WebCheckout do not go through an approval process, these can be made immediately before pickup.
